For UK small businesses · Coming soon
Every customer kept posted. On time. Automatically.
If your business runs on dates that come round again — renewals, services, inspections, filing deadlines, memberships — Keep Posted emails each customer their own reminder on the schedule you set. One customer per email, sent from your own mailboxes. It runs quietly on a normal office PC. No server, no per-user fees, no suite to migrate to.
Built for small businesses — anyone up to about 20 staff who chases recurring dates from a spreadsheet and an inbox, and doesn’t want a £40-per-user-per-month suite just to send reminders.
Who it’s for
If it comes round every year, it can be a reminder.
Keep Posted doesn’t care what the date is called. You decide what you track, what the message says and how far ahead it goes out. A few of the ways it gets used:
Accountants & bookkeepers
Accounts filing, VAT quarters, PAYE, CIS and CIS300 — each client reminded only about the deadlines that apply to them. This is where Keep Posted was born.
Letting agents & landlords
Gas safety certificates, EPCs, electrical checks, tenancy renewals and rent reviews — chased before they lapse, not after.
Garages & MOT centres
MOT and service due dates that bring the car back to you instead of to whoever texted first.
Vets, groomers & dentists
Vaccination boosters, check-up recalls and treatment reviews, sent on the schedule you decide.
Trades & installers
Annual boiler services, alarm checks, fire extinguisher inspections, warranty expiries — the repeat work most firms forget to ask for.
Clubs, gyms & brokers
Membership renewals, subscription dates, insurance and policy renewals — anything with a date and a customer attached.
Not on the list? If you keep the dates in a spreadsheet today, Keep Posted can send them. You build your own reminder groups — there’s an accountancy starter pack in the box if that’s your trade, and a blank sheet if it isn’t.
How it works
Set it up once. It keeps them posted.
Add your clients
Enter each client once with the deadlines that apply to them — accounts, VAT quarters, PAYE, CIS and CIS300. Each department can send from its own mailbox.
Choose the schedule
Decide when reminders go out ahead of each deadline and what they say. Templates are yours to edit — they read like your business, not like a robot.
Let it run
Keep Posted sends on schedule from a normal office PC. If the machine was off, it catches up the moment it’s back on. Nothing to host, nothing to log into.
Why not just BCC everyone?
Because one wrong BCC is a data breach.
Keep Posted physically cannot put two clients in the same message. Misaddressed bulk email is one of the most commonly reported data breaches to the ICO, year after year.
ICO guidance tells organisations to use mail-merge-style individual sending instead of BCC for bulk communications. That is exactly, and only, what Keep Posted does.
Emails go through your own mailboxes, so every reminder sits in your sent folder as a record — not on someone else’s platform.
Your client list lives on your PC. There is no cloud copy of your client book, because there is no cloud.
Features
Small tool. Does the whole job.
Your dates, your groups
Build reminder groups for whatever you track — monthly, quarterly or annual — and each customer gets only the ones that apply to them.
Send from the right mailbox
Different reminders can come from different addresses, so replies land with the right person rather than a shared inbox.
Your words, not ours
Every template is editable. Reminders go out in your tone with your sign-off — they read like you, not like a robot.
Catch-up sending
PC was off over the weekend? Keep Posted works out what was missed and sends it — once, not twice.
One-customer-per-email guard
A hard rule in the software, not a policy in a drawer. No customer ever sees another customer’s name.
No server, no IT project
Installs on a normal Windows PC and uses the email accounts you already have. Set up in an afternoon.
Pricing
One price. The whole business.
Per business — not per user. Every reminder group, every mailbox, unlimited customers.
Register interestCRMs and management suites bundle customer reminders — inside subscriptions that typically run £30–£60 per user, per month. If reminders are the bit you actually need, that’s a lot of software you’re not using.

Keep Posted was built alongside a working UK accountancy practice — which is why the deadline handling is unusually thorough — and it does the same job for any business with dates to chase. It’s in final preparation for release. Register your interest and we’ll email you when it’s ready — nothing else, no marketing drip.
