Privacy Policy - Keep Posted

This policy explains how Azury Digital & Tech Solutions Ltd ("we", "us"), trading as Keep Posted, handles personal data - both on this website and in the Keep Posted software - and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).

Your client book stays in your office. Keep Posted is offline Windows software. The client names, contact details, deadlines and send history you keep in it are stored only on your own computers - never uploaded to us, never synced to a cloud. We cannot see them. The reminder emails it sends go directly through your own mailboxes, not through any system of ours.

1. Who we are

2. Your customers' data is not ours

For the information you keep inside Keep Posted - your customers, their contacts, their dates - you are the data controller. It lives in the software's local database on your own machines and is never uploaded to us. Emails you send travel through your own email provider, and texts sent through your own Android phone travel through your mobile network. Backups the software makes are files saved where you choose.

The one exception is text credits. If you choose to send texts through Keep Posted credits, the software sends each text's mobile number and message content to our server, which passes it to our UK messaging gateway for delivery. For that data we act as your processor: we hold the number, the message and the delivery result only as long as needed to deliver the text, show you the outcome, and credit back anything undelivered, and we use it for nothing else.

3. What we do collect

Register-interest emails - if you email us from this site to be told when Keep Posted launches, we keep your email address for that purpose and that purpose only. No marketing drip; you can ask us to remove it at any time.
Account, purchase and licence records - who bought, when, which licence, which PCs it is activated on (as an anonymised device identifier and the PC's name), and credit purchases, kept for accounting and support.
Licence and update checks - when the software activates, re-checks its licence or looks for an update, our server sees your licence code, the software version and your PC's connection address, as any web request does. Nothing about your customers is included.
Credit texts - as described in section 2, when you use text credits.
Support correspondence - emails you send to info@azurydigital.co.uk and our replies.

Legal bases: performance of a contract (licences, credits and support) and legitimate interests (responding to enquiries you send us, and keeping the licence system honest). We keep this data only as long as the licence relationship and our legal, accounting and tax obligations require.

4. No telemetry, no tracking

The Keep Posted application contains no analytics, no tracking and no usage reporting. The only connections it makes of its own are the licence and update checks above and, if you use them, credit texts; the rest is the email and phone sending you configure. This website uses no advertising or tracking cookies and no analytics.

5. Who we share data with

We never sell personal data. Our own email is handled by our hosting provider (Fasthosts) under their agreements with us. Credit texts are delivered by The SMS Works Ltd, a UK messaging provider with UK data centres, under their agreement with us; they receive the mobile number and message content of each credit text, and nothing else. Card payments for licences and credits are handled by Stripe; we never see your card details. We may disclose data where the law requires it.

6. Your rights

You have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to its use, and to data portability. Email info@azurydigital.co.uk and we will respond within one month.

7. Complaints

If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

8. Changes

We may update this policy from time to time; the date at the top shows when it last changed.
