For UK small businesses · Coming soon
Reminders by text and email, on the dates that matter.
If your business runs on dates that come round again - MOTs, renewals, year ends, services, filing deadlines - Keep Posted texts or emails each customer their own reminder: on their own date, or on the schedule you set for a whole group. Texts go through your own Android phone or through Keep Posted text credits; emails leave from your own mailbox. It runs on a normal office PC. No server, no per-user fees.
Built for small businesses - anyone up to about 20 staff who chases recurring dates from a spreadsheet and a phone, and doesn’t want a £40-per-user-per-month suite just to send reminders.
Who it’s for
If it has a date and a customer attached, it can be a reminder.
Keep Posted doesn’t care what the date is called. You decide what you track, what the message says, whether it goes by text or email, and how far ahead it goes out. A few of the ways it gets used:
Garages & MOT centres
Each car’s own MOT and service date, with a text a month before, a week before and on the day - the car comes back to you instead of to whoever texted first.
Accountants & bookkeepers
CIS on the 6th, 12th and 15th, VAT quarter ends, PAYE month ends, year ends per client - each client reminded only about the deadlines that apply to them. This is where Keep Posted was born.
Letting agents & landlords
Gas safety certificates, EPCs, electrical checks, tenancy renewals and rent reviews - chased before they lapse, not after.
Vets, groomers & dentists
Vaccination boosters, check-up recalls and treatment reviews, each pet or patient on their own date.
Trades & installers
Annual boiler services, alarm checks, fire extinguisher inspections, warranty expiries - the repeat work most firms forget to ask for.
Clubs, gyms & brokers
Membership renewals, subscription dates, insurance and policy renewals - anything with a date and a customer attached.
Not on the list? If you keep the dates in a spreadsheet today, Keep Posted can send them. Import the spreadsheet, and any column holding a date per person becomes something it can remind them about.
How it works
Set it up once. It keeps them posted.
Add your people
Import your spreadsheet or type them in. A person can sit in several groups, and a director of three companies is three entries, each with its own dates. Real tick boxes on every row say who gets what.
Choose the words and the dates
A schedule sends to a whole group on set days of the month. A reminder sends to each person on their own date, in steps you choose: 30 days before, on the day, a week after. Every message is yours to word.
Let it run
Keep Posted sends on the day from a normal office PC, asking first if you want it to. If the machine was off, it catches up what was missed - once, never twice. Someone brings their paperwork in? Right-click, skip until next month.
Texts
Two ways to send a text. Neither needs a texting company’s contract.
A text gets read within minutes; an email gets read eventually. Keep Posted does both, and gives you a choice of how the texts leave.
Install the free companion app on an Android phone on the office Wi-Fi. The PC queues the texts, the phone sends them from its own number at a steady pace, and replies come to that phone. STOP replies are honoured automatically.
Buy a pack of credits inside the program and texts go out from our UK gateway under your own sender name - “NorthbridgeG” rather than a number. Nothing to set up, nothing to charge. Undelivered texts are credited back.
Emails leave through the mailbox you already have, one customer per email, wrapped in your own Outlook signature if you like. Replies land with you, not on someone else’s platform.
See it in action
The real thing, recorded.
Four short clips of Keep Posted on a demo list. Every firm, person and number shown is fictional, and nothing is sent.
Why not just BCC everyone?
Because one wrong BCC is a data breach.
Keep Posted physically cannot put two customers in the same email or text. Misaddressed bulk email is one of the most commonly reported data breaches to the ICO, year after year.
ICO guidance tells organisations to use mail-merge-style individual sending instead of BCC for bulk communications. That is exactly, and only, what Keep Posted does.
Emails go through your own mailbox and texts through your own phone, so the history is yours. Choose text credits and only the number and the message pass through our gateway to be delivered - nothing else.
Your customer list lives on your PC. There is no cloud copy of it, because there is no cloud; the program only phones home to check its licence, look for an update, and send credit texts if you use them.
Features
Small tool. Does the whole job.
Reminders from each person’s date
MOT due, renewal, year end - a column in your list. Steps before, on and after it, each with its own wording. A yearly date comes round again on its own.
Group schedules
Any months, any days, “last” for the month end, a shift of a few days, or once on one date. The classic accountancy set is a few minutes’ work.
Dealt with - skip until
Someone has brought their paperwork in or booked their car. Right-click, skip until next month. They stay in their groups and the hold lifts itself.
Your words, not ours
Every message is editable, with placeholders for the name, the company and the date. Emails can be wrapped in your own Outlook signature, pictures and all.
Asks first, catches up
A due send shows you who it will reach and who is skipped before it goes. PC was off? It catches up what was missed - once, never twice.
Safe to update, easy to back up
Everything lives in your data folder, never beside the program. Updates keep every setting; one button backs the whole lot up to a file.
Pricing
One price. The whole business. Texts as you need them.
Per business - not per user. Every group, every reminder, every mailbox, unlimited customers, on up to two PCs. Texts through your own Android phone are included.
Register interestCRMs and management suites bundle customer reminders - inside subscriptions that typically run £30–£60 per user, per month. If reminders are the bit you actually need, that’s a lot of software you’re not using.
Text credits
For texts without a phone, or from an office where everyone is on iPhone. Bought inside the program whenever you need them.
| Pack | Price |
|---|---|
| 100 texts | £6 |
| 500 texts | £30 |
| 1,000 texts | £60 |
6p a text, charged per 160 characters; a longer text uses more than one credit. Texts go out under your own sender name to UK mobiles. Undelivered texts are credited back. Credits never expire while your licence is active and are not refundable for cash. Prices include VAT.

Keep Posted was built alongside a working UK accountancy practice, where it sends the CIS, VAT and PAYE reminders every month - which is why the deadline handling is unusually thorough - and it does the same job for any business with dates to chase. It’s in final preparation for release. Register your interest and we’ll email you when it’s ready - nothing else, no marketing drip.
